How do I apply a Secondary Rate to Text or Fields to calculate a different rate for Pay and/or Billing?

Secondary Rate Explained

Overview

Administrators can define specific text used during the course of documentation/transcription, such as the use of Normals or templated fields, which can be set up as Secondary Text.  A different Pay or Billing rate can then be set up as part of the Pay Model or Billing Model for this Secondary Text.  Secondary Text typically includes repetitive information that can be easily populated as part of the Template or as a Normal.  This article explains, at a high level, the steps required to make use of this Secondary Text feature. 

This feature is currently being tested in a limited Beta release.

Requirements

  • Administrator login for the InfraWare Management Console (IMC).
  • InfraWare Transcription Client (ITC) version 7.1.1.10 or newer is required in order for an MT to use Secondary Text feature and in order to define Secondary Text as part of a Normal.
  • InfraWare Template Editor (ITE) version 7.1.1.3 or newer in order to set text on a template as Secondary Text.
  • Online Editor (OE) version 7.1.1.5 or newer in order to set text within a Normal as Secondary Text when managing Normals in the IMC.

Steps

Follow the steps below to define Secondary Text as part of a Template or Normal and then set up the Billing/Pay Model:

  • Define text as Secondary Text as part of a Normal and/or Template:
    • Normals:  If you would like text within a Normal to be considered Secondary Text you can manage this from within the ITC or the IMC/Online Editor:
      • ITC:  InfraWare Transcription Client (ITC) version 7.1.1.10 or newer is required in order to set up text within a Normal as Secondary Text while managing Normals in the ITC.  See KB696 for details on how to manage Normals in the ITC.
        • Select the text you want to mark as Secondary Text by highlighting.
        • Use Keyboard Shortcut Ctrl + Alt + S or go to the Insert menu and choose Secondary Text.
        • The selected text will then be highlighted in red to indicate it is Secondary Text.
        • Ctrl + S to save or click on Save to Platform.
      • Online Editor:  Online Editor (OE) version 7.1.1.5 or newer in order to set text within a Normal as Secondary Text when managing Normals in the IMC.  See KB355 for details on how to manage Normals in the IMC using the Online Editor.
        • Select the text you want to mark as Secondary Text by highlighting.
        • Use Keyboard Shortcut Ctrl + Alt + S or go to the Insert menu and choose Secondary Text.
        • The selected text will then be highlighted in red to indicate it is Secondary Text.
        • Ctrl + S to save or click on Save to Platform.
    • Template:  InfraWare Template Editor (ITE) version 7.1.1.3 or newer is required in order to set text on a template as Secondary Text.  Within the ITE you can mark text and template fields as Secondary.  
      • Secondary Text: 
        • Highlight the text you would like to define as Secondary Text. 
        • Use Keyboard Shortcut Ctrl + Alt + S or go to the Insert menu and choose Secondary Text.
      • Secondary Field:  
        • Choose the Secondary Field option by checking the box in the bottom left corner of the ITE. 
        • Insert the Field normally using the Insert menu or the Available Fields on the left side of the ITE.
        • Once a Secondary Field is added you can tell the Secondary Text rate is applied to that field using the Current Fields menu on the right side of the ITE.  The field will have "#2ndRate#" in front of the field name. 
        • Notes: 
          • In order for a template Field to be a Secondary Field you must choose the Secondary Field option BEFORE inserting that field on the template.  An existing field cannot be marked as a Secondary Field. This may require you to Delete an existing Field and then add it back to the template with the Secondary Field option checked.
          • The Secondary Text rate will be applied to all fields added to the template while this option is checked.
          • Secondary Rate Fields are not highlighted in red like Secondary Text.  You can tell Secondary Fields from regular fields in the Current Fields menu on the right side of the ITE by the "#2ndRate#" prefix.
          • It is possible to copy a Field from the ITE into a Normal which can be populated from the ITC during the transcription process.  If a Field has been marked as a Secondary Field and then pasted into a Normal that is how the text will be counted if the Pay/Billing model is set up to consume Secondary Text/Fields.
  • Set up the Billing and/or Pay Models to Observe Secondary Text: 
    • Billing Models:  See KB654 for details on managing Secondary Text as part of a Billing Model.
    • Pay Models:  See KB653 for details on managing Secondary Text as part of a Pay Model.

Notes

  • First Draft Fields cannot be marked as Secondary Text rate.  They will be counted using the First Draft rate defined in the Advanced area on the Pay or Billing model.
